Working Student - Events and project support

English

As YSI's Working Student for Events & Project Support, you will be at the operational heart of two types of workstreams: bringing our events to life, and keeping our corporate Communities of Practice running smoothly behind the scenes.
You will cover two connected areas of work. On Events, you will lead the planning and on-the-ground delivery of our annual event with one of our flagship clients (Jan/Feb), plus support other events. On Project Support, you will run the execution and logistics of two of our programmes’ Community of Practice (CoP).
This is a broad, hands-on role for someone who wants to build real project management experience early in their career: you will own timelines, coordinate multiple stakeholders, and be the person who makes sure things happen - during a live event, and behind the scenes between sessions. We are looking for someone who could grow with YSI beyond this role, and strong performance and cultural fit will be key for future opportunities within the team.

Tasks:

We seek your support in the following key areas:

  • Events: Flagship Annual Event

  • Leading the agenda and the organisation of the different workshops, activities and events inside the bigger event

  • Owning communication with the participants

  • Preparing presentations and participant materials

  • Briefing workshop leads and facilitatorsCoordinating with clients on logistics On-site coordinating: acting as the point of contact during the event for timing and troubleshooting

  • Collecting feedback from participants, writing post-event reportings

  • Project Support - Community of Practice

  • Support the execution and logistics of YSI’s Communities of Practice for our key partnerships

  • Support and coordinate the IMM data collection & management with SEs in the CoP, including lead the outreach to the SEs,

  • Schedule and plan CoP sessions, coordinate event team and prepare materials

  • Conduct reports and notes, ensuring that all key information is documented, maintained, and continuously updated within YSI’s knowledge systems.

Requirements:

You are highly organised, structured, and proactive, with a natural instinct for project management: you can hold multiple timelines and stakeholders in your head at once, keep track of the many small details that make an event or a recurring programme run smoothly, and follow through without needing to be chased. You take ownership of your work, communicate clearly and proactively, and are comfortable being the point of contact when things need to happen under time pressure - such as during a live, multi-day event.
You enjoy variety: one week you might be briefing facilitators and preparing name badges, the next you are coordinating the logistics for a Community of Practice session with a corporate partner. You are dependable, detail-oriented, and genuinely curious about how corporate partnerships and social impact programmes come together operationally - and you are keen to grow your project management skills in a role with real ownership from day one.
You have an appetite for impact: You're curious about the social enterprises and corporate partners behind the events and programmes you're coordinating, not just the logistics of running them, and you see this role as a way to build both project management skills and a real understanding of the impact space.

Your Experience & Skills

  • Currently enrolled in a Bachelor's or Master's degree in (e.g. Business, Project Management, Entrepreneurship & Innovation, or a related field)
  • Prior experience in event coordination, project or programme support, or similar (internships or working student roles count)
  • Strong project management skills: highly organised, autonomous, structured, and comfortable managing multiple workstreams and deadlines at once
  • Excellent written and verbal communication in English
  • Detail-oriented, proactive and reliable - you follow through and do not let things fall through the cracks
  • High level of personal integrity, team spirit, and alignment with YSI's values
